For a Private Bank based in Geneva, we are looking for a Event Coordinator

Overview :


The event coordinator is a key integral component of the PB EMEA events team. The main responsibility of the role is to support the event managers in creating and executing client events from beginning to end. In addition to supporting the events team on event related responsibilities the event coordinator will maintain calendars, databases and supplier/venue information. The coordinator will primarily focus on the PB EMEA markets but can be involved in large events targeting a global client base. The job demands interaction with colleagues on the EMEA regional event team, Global event team, marketing, PB EMEA market managers, bankers and product partners. The event team's goals are to help PB EMEA markets increase client business/deepen existing client relationships, create and drive efficiencies for internal partners.

 

Main Duties :


• Collaborate with event managers and global marketing teams to assist on overall event planning and execution


• Understand budgets and manage event calendar accordingly


• Research venues and update the electronic database and filing of vendors/venues details

 

• Sourcing venues and suppliers for events, ordering gifts and merchandise for events


• Maintaining stock levels of event materials/stationary/supplies


• Management of lists and status reports for client events and global programs (nomination lists, attendee lists, rooming lists)


• Participate in weekly team meetings and contribute with new ideas


• Event administrative responsibilities (mailing of invitations, nametags, place and table seating cards, menu cards as well as collation and shipping of stationary and marketing collateral for the events)


• On site support at events with some travel

 

Skills required :


• Some experience in marketing and event management related activities is essential


• Must think strategically; identifies issues and finds a creative solution


• Must be able to multi-task and work under tight deadlines


• Excellent organisational skills and exceptional attention to detail


• Ability prioritise workloads to meet internal client demands


• Excellent verbal and written communications skills


• Ability to demonstrate utmost discretion and professionalism at all times


• Committed and enthusiastic in approach and flexible attitude towards working hours and travel


• Strong team player


• Proficiency in Excel, Word & Power Point


• Languages - English, French, and German preferred
